HoneyBook vs QuickBooks isn’t really a fight: HoneyBook runs the client side of your business, QuickBooks keeps the books, and plenty of service businesses end up using both. The confusion starts because both can send an invoice. That one overlap makes them look like rivals when they mostly do different jobs.
Think of your business as a small office. HoneyBook is the front desk that greets clients and takes payment: leads, proposals, contracts, scheduling, invoices and payments. QuickBooks is the back office where the receipts get filed: bookkeeping, expenses, reports, bill pay and tax prep features.
This guide covers what each tool does and doesn’t do, the verified 2026 prices on both sides, how the official QuickBooks Online sync works, what each setup costs in year one, and how to decide. Photographers, coaches, designers and consultants are the readers we had in mind.
Quick answer: HoneyBook vs QuickBooks in 2026
HoneyBook is the pick when your problem is getting clients booked and paid. Starter costs $29/month billed yearly ($36/month billed monthly), Essentials $49/month billed yearly ($59/month billed monthly), and Premium $109/month billed yearly ($129/month billed monthly). There’s a 30-day free trial with no credit card required.
- Pick it if you send proposals and contracts before every job.
- Pick it if clients book sessions with you and you want reminders sent for you.
- Pick it if chasing payments and signatures eats your week.
QuickBooks Online is the pick when your problem is the books. Free is $0 (1 user, 2 invoices a month), Simple Start $38/month, Essentials $85/month, Plus $140/month and Advanced $340/month, all regular prices with no annual contract. Paid plans come with a 30-day free trial.
- Pick it if you need real bookkeeping, expense categorizing and reports.
- Pick it if you pay bills, track inventory or watch project profitability.
- Pick it if your accountant asks for QuickBooks access.
Both make sense when you book clients through proposals and contracts and your accountant wants everything in QuickBooks. That means HoneyBook Essentials or Premium plus a paid QuickBooks Online plan, connected with HoneyBook’s QuickBooks Online integration.

The short read on HoneyBook vs QuickBooks: HoneyBook owns everything that happens before and during a job. QuickBooks owns everything that happens after the money lands.
What HoneyBook does (and what it doesn’t)
HoneyBook is built around the client journey. A lead fills out a form, you send a proposal, they book, sign and pay from one file, and the project moves along your pipeline from there.
Every plan includes unlimited clients and projects, invoices and payments, proposals and contracts with eSignatures, forms and questionnaires, a calendar, all professional templates, a client portal and a mobile app. If you’re building your first proposal, start with a free proposal template and rebuild it inside HoneyBook once you know what clients respond to.
The invoicing side is deeper than most people expect. You get one-time, recurring or custom invoice schedules, autopay, payment reminders, payment plans, late fees, Apple Pay and Google Pay, tipping and discounts.
The scheduler is where plans start to differ. Starter gives you 1 session type with email-only reminders, while Essentials opens unlimited sessions with email and SMS reminders. Automations, the part that sends follow-ups without you lifting a finger, also start on Essentials.
The money side of HoneyBook
HoneyBook’s pricing page also lists HoneyBook Finance. That covers a HoneyBook Balance checking account and debit card, savings buckets, expense tracking, automated tax categorization (for expenses paid with the HoneyBook debit card), a tax hub, a cashflow planner, profits by project and financial reports (Basic on Starter, Standard on Essentials, Advanced on Premium). No prices are published for these features.
So HoneyBook can show you a decent picture of your money. But it’s still a front desk with a good filing drawer, not a full accounting system, and HoneyBook itself offers a sync into QuickBooks Online for complete bookkeeping.
What HoneyBook doesn’t do
HoneyBook does not file your taxes, it isn’t a payroll tool, and it doesn’t replace your accountant. Bookkeeper access gives your bookkeeper limited access to finance-related pages, which helps, but they’ll likely still want the numbers in a real ledger.
If your work is one invoice a month to the same client with no proposal or contract, most of HoneyBook sits unused. You’d be paying for a front desk in a building nobody walks into.
What QuickBooks Online does (and what it doesn’t)
QuickBooks Online is accounting software. Its job is to turn bank transactions, invoices and bills into clean books and reports you (or your accountant) can trust at tax time.
Here’s what its pricing page lists, plan by plan:
- Every paid plan: automated bookkeeping, expense categorizing, invoicing and getting paid, and bill pay with free ACH ($0.50 per standard ACH transaction over monthly allotments; allotments may vary).
- Reports: general business reports on Simple Start, enhanced reports on Essentials, comprehensive reports on Plus.
- Essentials adds: employee time on invoices, a custom lead form for your website, bulk invoice creation (beta), estimated quarterly tax payments and an annual books check-in.
- Plus adds: budgeting, project profitability tracking, inventory, reconciliation, and classes and locations (40).
- Advanced adds: unlimited classes and locations, custom KPIs and dashboards, automated workflows, user permission controls, Excel data sync, and priority support and training.
Payroll is an optional add-on, and the pricing page shows no price for it. Card and bank payments on invoices run through QuickBooks Payments, again with no rates on the pricing page.
What QuickBooks Online doesn’t list
QuickBooks’ pricing page does not list proposals, contracts, a client booking scheduler or a client portal. That doesn’t prove you can’t patch something together, but none of those appear among the plan features.
That’s the real gap for a photographer or coach. The work of winning a client (the proposal, the signature, the deposit, the booked session) happens before QuickBooks ever sees a dollar.
HoneyBook plans and prices in 2026
HoneyBook has three plans. The billing toggle on its pricing page reads “Billed yearly (save up to 18%)” vs “Billed monthly”, so we label every price below.
- Starter: $29/month billed yearly, or $36/month billed monthly. Unlimited clients and projects, invoices and payments, proposals and contracts, client portal, basic reports, up to 2 live lead forms, HoneyBook AI, and a scheduler with 1 session and email-only reminders. No QuickBooks Online integration.
- Essentials (“Most Popular”): $49/month billed yearly, or $59/month billed monthly. Everything in Starter plus unlimited scheduler sessions with email and SMS reminders, automations, the QuickBooks Online integration, up to 2 team members, up to 10 live lead forms, standard reports, and no “Powered by HoneyBook” branding.
- Premium: $109/month billed yearly, or $129/month billed monthly. Everything in Essentials plus unlimited team members, multiple companies, advanced reports, unlimited live lead forms, priority support and an onboarding specialist for one-on-one setup in the first 90 days.
The flag that matters for this comparison: the QuickBooks Online integration starts on Essentials. If the sync is the reason you’re reading, Starter is off the table.
The free trial runs 30 days with no credit card, with “minor limitations based on eligibility for some advanced features.” HoneyBook’s billing and membership help article says the trial doesn’t automatically turn into a paid membership, and there’s a 60-day money-back guarantee.
Payment processing is separate from the plan price. The processing-fees section and FAQ say card fees start at 2.7% + 10¢, while the plan comparison table on the same page says “Fees starting at 2.9% + 25¢”; ACH bank transfers are 1.5% and instant deposit is a 1% fee, pending eligibility. Confirm the rate in your own account.

QuickBooks Online plans and prices in 2026
QuickBooks Online has five plans, priced per month with “No annual contract” and “Cancel anytime.” Here are the regular prices:
- Free: $0. 1 user, no accountant access. Income and expense tracking, 2 invoices per month, mobile signatures, 1 connected bank, and profit & loss, balance sheet and quick reports. Mobile app access and third-party integrations are not available.
- Simple Start: $38/month. 1 user, 2 accountants. Adds general business reports, automated bookkeeping, expense categorizing, invoicing and bill pay with free ACH.
- Essentials: $85/month. 3 users, 2 accountants. Adds enhanced reports, employee time on invoices, a website lead form, KPIs and dashboards with third-party data, and estimated quarterly tax payments.
- Plus: $140/month. 5 users, 2 accountants. Adds comprehensive reports, budgeting, project profitability, inventory and reconciliation.
- Advanced: $340/month. 25 users, 3 accountants. Adds custom KPIs and dashboards, automated workflows, user permission controls and priority support.
Paid plans include a 30-day free trial. QuickBooks often shows a limited-time introductory discount on its pricing page, and the terms change, so this guide uses regular prices only.
The Free plan is genuinely useful for a side business with a couple of invoices a month. But note the “no third-party integrations” line, because it matters in the next section.

Does HoneyBook work with QuickBooks?
Yes. The honeybook quickbooks integration is HoneyBook’s own QuickBooks Online integration, included on Essentials and Premium (not Starter).
HoneyBook’s pricing page describes it as “Sync HoneyBook payments with QuickBooks Online.” The integration page puts it as “Populate your payments from HoneyBook directly into your QuickBooks account.” In plain terms, the money your clients pay in HoneyBook shows up in your books without retyping.
How to connect HoneyBook to QuickBooks Online
The steps from HoneyBook’s integration page:
- In HoneyBook, go to Tools → Integrations, find QuickBooks and click Connect.
- Sign in to QuickBooks Online.
- Choose your QuickBooks company file and allow permissions.
- The integration then shows in HoneyBook.
The page’s button reads “Integrate for free,” so there’s no extra charge on top of the plans themselves. HoneyBook’s help center also has guides on syncing invoices, how transaction fees are separated out in QuickBooks, matching invoice payments, connecting your sales tax rate, mapping services to your chart of accounts, refunds and fixing amount mismatches.
What you need on each side
On the HoneyBook side, you need Essentials or Premium. On the QuickBooks side, you need a paid QuickBooks Online plan, because QuickBooks Free doesn’t offer third-party integrations.
HoneyBook’s pages name QuickBooks Online specifically. If you run a different version of QuickBooks, check with HoneyBook before you plan around the sync.

What each setup costs in year one
Monthly prices hide the real HoneyBook vs QuickBooks decision. Here’s what each setup costs over 12 months, with QuickBooks at regular prices.
| Setup | Year one |
|---|---|
| HoneyBook Starter alone, billed yearly / billed monthly | $348 / $432 |
| HoneyBook Essentials alone, billed yearly / billed monthly | $588 / $708 |
| QuickBooks Simple Start alone ($38 × 12) | $456 |
| QuickBooks Essentials alone ($85 × 12) | $1,020 |
| QuickBooks Plus alone ($140 × 12) | $1,680 |
| Both, smallest connected setup: HoneyBook Essentials billed yearly + QuickBooks Simple Start | $1,044 |
| Same, HoneyBook Essentials billed monthly ($59 + $38 = $97/month) | $1,164 |
| Both, small team: HoneyBook Essentials billed yearly + QuickBooks Essentials (3 users) | $1,608 |
| Both, HoneyBook Premium billed yearly + QuickBooks Plus (5 users) | $2,988 |
The cheapest connected setup is HoneyBook Essentials billed yearly plus QuickBooks Simple Start. HoneyBook Starter and QuickBooks Free can’t be part of a connected setup, since Starter has no QuickBooks Online integration and Free has no third-party integrations.
Keep one more line in your budget: payment processing. HoneyBook charges fees on what clients pay you (cards from 2.7% + 10¢ in the processing-fees section and FAQ, “Fees starting at 2.9% + 25¢” in the plan table, ACH 1.5%), so confirm the rate in your account.
Which one does your business need?
Most HoneyBook vs QuickBooks decisions come down to where your week goes. If the hours vanish into back-and-forth with clients, you need a front desk; if they vanish into receipts and reconciliation, you need a back office.
Pick HoneyBook alone if…
You mainly need to book clients and get paid. A wedding photographer sending proposals, contracts and deposit invoices, or a brand designer running projects with payment plans, gets most of the value right here.
This works when your bookkeeper is happy working from exports, or when your books are simple enough to keep yourself. HoneyBook’s own finance reports and expense tracking can carry you a while.
Pick QuickBooks alone if…
Your work is repeat billing with little back-and-forth before the job. A consultant on a monthly retainer doesn’t need a proposal every month, but does need clean books.
QuickBooks alone also fits when you need real bookkeeping, bill pay, reports or inventory. If the client side of your business is a single recurring invoice, QuickBooks’ own invoicing is likely enough.
Use both if…
You book clients through proposals, contracts and a scheduler, and your accountant wants everything in QuickBooks. That’s the classic setup for coaches, photographers and studios that have grown past the side-hustle stage.
You’ll be on HoneyBook Essentials or Premium and a paid QuickBooks Online plan, with payments flowing from the front desk to the back office. Coaches who want to compare more options can browse our guide to client management tools for coaches.
Don’t mess this up: 5 tips before you connect them
- Pick HoneyBook Essentials or Premium if you need the sync. Starter doesn’t include the QuickBooks Online integration, so upgrading later means paying the difference anyway.
- Don’t start on QuickBooks Free if you plan to connect HoneyBook. Free has no third-party integrations, so the connection needs Simple Start or higher.
- Invoice in one tool only. If you invoice in HoneyBook and again in QuickBooks, you risk counting the same income twice. Let HoneyBook send client invoices and let the sync carry payments over.
- Map your HoneyBook services to your chart of accounts before the first sync. HoneyBook’s help center has a guide for this, and doing it first keeps your income categories clean from day one.
- Ask your accountant which QuickBooks plan and how many accountant seats they need. Simple Start through Plus include 2 accountants and Advanced includes 3, so one short conversation can save you from buying the wrong plan.
FAQs: HoneyBook vs QuickBooks questions
Does HoneyBook replace QuickBooks?
Not fully. HoneyBook handles leads, proposals, contracts, scheduling, invoices and payments, and its pricing page lists finance features like expense tracking and profits by project. For full bookkeeping, HoneyBook offers a sync into QuickBooks Online rather than replacing it.
Does HoneyBook sync with QuickBooks Online?
Yes. HoneyBook’s QuickBooks Online integration syncs HoneyBook payments into your QuickBooks Online account, and the integration page says “Integrate for free.” You connect it from Tools → Integrations in HoneyBook.
Which HoneyBook plan includes QuickBooks?
Essentials and Premium. Essentials costs $49/month billed yearly or $59/month billed monthly, and Premium costs $109/month billed yearly or $129/month billed monthly; Starter doesn’t include the integration.
Is there a free version of HoneyBook or QuickBooks?
HoneyBook has no free plan, but it offers a 30-day free trial with no credit card required, and the trial doesn’t turn into a paid membership on its own. QuickBooks Online has a Free plan at $0 (1 user, 2 invoices a month, 1 connected bank) plus a 30-day free trial of its paid plans.
Can I send invoices from both?
You can, since both tools invoice. In practice, pick one: invoicing in HoneyBook and letting the sync carry payments into QuickBooks keeps you from counting income twice.
How much do HoneyBook and QuickBooks cost together?
The smallest connected setup, HoneyBook Essentials billed yearly plus QuickBooks Simple Start, comes to $1,044 in year one. With HoneyBook billed monthly ($59 + $38 = $97/month) it’s $1,164, and a small team on HoneyBook Essentials billed yearly plus QuickBooks Essentials comes to $1,608, before payment processing fees.
